While their volume was modest (just 5 to 10 new projects a month), the process was repetitive and error-prone. Each new engagement involved setting up a parent project and several subprojects in Hive based on selected services, each with specific templates and tasks.
They weren’t looking to overhaul their stack. HubSpot worked well for sales, and Hive was already their go-to platform for managing project execution. The challenge was making these tools talk to each other efficiently.

Hive’s flexibility allowed the team to build a lightweight yet powerful integration. Using a custom webhook in HubSpot, projects are now triggered only when deals advance to the “Proposal” stage, eliminating false starts caused by general updates.
Hive became the orchestrator on the delivery side:
- Based on the multi-select services chosen in HubSpot, the integration creates a parent project in Hive.
- Then, Hive generates the exact set of subprojects, each tied to pre-configured templates, automatically.
The system also includes guardrails to avoid duplicates. If a Hive ID already exists in HubSpot, no new project is created. And if a deal moves to “Closed-Lost,” the related Hive project is automatically archived.
In just a few hours, a seamless handoff was built from sales to delivery.
