If your RingCentral “Call Ended” Zap fires but the API step returns a 404 or an empty call summary, the summary (or AI Conversation Expert insights) isn’t ready yet. The fix is a Zapier delay: wait 60–120 seconds, retry the API request, and only then write the RingCentral call summary into your CRM.

Why RingCentral call summaries aren’t available immediately

Most “call ended” style triggers fire as soon as the call disconnects, but the systems that generate and store summaries/transcripts often finish a little later.
Common symptoms:
  • 404 Not Found on your API request (the record you’re trying to fetch isn’t created yet).
  • The request succeeds but summary fields are blank.
  • Your “processed recording / AI summary” trigger is inconsistent (some calls never fire).
Treat “call ended” as the signal that processing can begin, not proof that the summary is ready.

The recommended Zap pattern (Call Ended → Delay → Fetch → Write to CRM)

This build is designed to be boring and reliable.

Step 1 — Trigger: RingCentral “Call Ended”

Use the RingCentral “Call Ended” (Instant) trigger in Zapier. (Trigger name as of October 2026 — check the Zapier app list if it has moved.)
Tips:
  • Keep the trigger simple at first (no filters). Add filtering later once it’s stable.
  • Test with a real connected call, not a missed call.

Step 2 — Delay 60–120 seconds

Add Delay by Zapier right after the trigger.
Suggested starting point:
  • 60 seconds if you need near-real-time notes
  • 120 seconds if you prefer fewer retries / failures
If you’re trying to minimize time-to-summary, start with 60 seconds and only increase if you still see 404s or blank fields.

Step 3 — Fetch the summary via API (with a retry strategy)

Add a Webhooks/API step (or the RingCentral action you’re using) to fetch the call log / recording / insight record that contains the summary.
Recommended retry logic:
  1. Attempt fetch once after the delay.
  2. If 404 or summary fields are empty:
    • Add another delay (30–60 seconds)
    • Retry the fetch
  3. Stop after a small cap (2–3 total attempts) to avoid runaway Zap runs.
If your Zap has a JavaScript step that only cleans text or copies fields, remove it until everything else is working. Most “AI-generated” JavaScript steps in Zaps aren’t necessary and make troubleshooting harder.

Step 4 — Find the contact in your CRM

Use your CRM’s “Find Contact” / “Find Lead” step (Follow Up Boss, HubSpot, and most others have one). Search:
  • Find by email if you have it, otherwise by phone number.
If you can’t reliably match, add a normalization step (e.g., remove punctuation, force E.164 formatting) before the lookup.

Step 5 — Write the summary as a note

Create or append a note in your CRM record.
Useful formatting for the note:
  • 1–2 sentence summary (top)
  • Bullets for key details
  • A “next step” line if you have it

Troubleshooting checklist (when you still see 404s or empty summaries)

  1. Confirm you’re using the right ID in the API step.
    • Many RingCentral objects have multiple IDs (telephony session, call log record, recording ID). Using the wrong one can look like “not found.”
  2. Increase delay (60 → 120 → 180 seconds).
  3. Add a second fetch attempt (simple retry).
  4. Test outside Zapier (optional).
    • Hit the same endpoint with the same ID using curl/Postman to see if the object exists after a few minutes.
  5. Check permission scopes.
    • If you’re reading call logs/recordings, ensure the integration has the permissions required to read that data (and that you’re querying the correct account/extension scope).

A simple, production-ready version (copy/paste spec)

  • Trigger: RingCentral — Call Ended
  • Action: Delay by Zapier — 1 minute
  • Action: Webhooks/API — Fetch call details / summary
  • Action: (Optional) Delay by Zapier — 30 seconds
  • Action: (Optional) Webhooks/API — Retry fetch if summary missing
  • Action: CRM — Find Contact
  • Action: CRM — Create Note with summary

When to use the “processed recording / AI summary” trigger instead

RingCentral also offers an “ACE Processed Recording” trigger (formerly RingSense Processed Recording) that fires when AI Conversation Expert generates the transcript and summary. If it’s reliable in your account, use it: it fires much closer to “summary is ready.” It requires an AI Conversation Expert license on the extensions involved. (As of October 2026 — check RingCentral’s current licensing.)
But if it’s inconsistent, the “Call Ended → Delay → Fetch” design is the safer foundation because it gives you control over timing and retries.
