What We Built
The Connex team engaged in two phases: an initial build in late 2021, and a targeted rebuild of the reminder system in 2024.
Phase 1 — Centralized intake and routing (2021): The team replaced the fragmented JotForm + Dropbox + email flow with a central data layer, using Airtable as the structured intake store. Rather than asking every farmer client every inventory question, the system now routes clients to role-aware intake based on their business type. Beef operators see beef questions; hog operators see hog questions. Ending inventory from the prior year is pre-populated — pulled from last year's submission — so clients confirm rather than re-enter.
Zapier and Make.com were used to automate the submission-to-file workflow: when a client submits, their data routes to the correct bookkeeper, a confirmation triggers, and the spreadsheet calculations that once had to be done manually are now pre-computed. Each client gets a personalized intake URL — no login friction for farm clients who only interact with the system once a year.
Phase 2 — Reminder system rebuild (2024): Two years in, the reminder logic was still misfiring. A Connex consultant rebuilt the reminder system from scratch — this time with proper state-tracking: a submission status field that the reminder logic reads before sending. Clients who have submitted no longer receive follow-ups. Clients who set custom reminder dates are now correctly queued. Notion was layered in for internal project visibility, so the principal could see the status of active client files without asking a bookkeeper.
