How a Multi-Location Restaurant Group Automated Guest Engagement Across 9 Locations with AI + Zapier
A Canadian restaurant group with 9 locations automated Google review responses, website chatbots, and social media inboxes using Zapier and AI. Here's how.
A Canadian restaurant group operating 9 full-service restaurant brands plus an ice cream concept — roughly 600 employees, ~$30M+ in annual revenue — had a coordination problem that no single off-the-shelf tool was solving. Each location ran a separate Google My Business profile, its own website, and social media accounts for multiple brands. Staff were spending significant time on repetitive guest communication: responding to Google reviews, answering the same FAQ-level questions through website contact forms, and manually monitoring social media inboxes across brands.

The owner's instinct was right: this was automatable. The gap was knowing what to build and how to connect the pieces.
The Problem
When the owner first reached out to Connex, the pitch was direct:
"I'm looking for ways to streamline some things with AI for my restaurants. I have several brands all under different names and styles. The first workflow I'm trying to get is automation on Google reviews."
Behind that initial ask was a bigger pattern: the team was losing time on every piece of outbound guest communication that didn't need a human decision. Google reviews piled up without timely responses. Website visitors had nowhere to get quick answers without emailing. Social media inboxes went unanswered or required manual routing to whichever staff member owned that account.
At $30M in revenue across 9 restaurants, the owner could absorb it — but he could also see it clearly for what it was: labor doing a machine's job.
What They'd Already Tried
The owner had explored AI tools in a general sense but hadn't yet built anything connected to his actual systems. He was using a graphic design vendor for social media posting — handling it manually, brand by brand. Google review responses were written ad hoc by staff or left to accumulate. There was no unified view of what was being said about his brands online, and no triage logic separating the negative reviews that needed real attention from the routine five-star thank-yous.
What We Built
Working across 15 sessions over nine months, a Connex consultant built a layered AI guest engagement system across the full restaurant group.
1. Google Reviews AI Automation
Automated review responses were built for all 9 restaurant locations using Zapier. The system drafts AI-generated responses customized per restaurant brand, posts them automatically, and flags negative reviews for immediate owner notification rather than auto-responding. A deliberate delay was built in so responses don't appear instant. The owner's team now monitors an exception queue instead of an inbox.
2. Website Chatbots (8 Locations)
A chatbot was deployed on the website of each restaurant — 8 locations total. Each chatbot is fed by a knowledge base built from that restaurant's own website content: menus, hours, FAQs, reservation info. The knowledge base stays in sync with the site automatically, so menu changes propagate without manual updates. Guests asking "what are your hours?" or "do you take reservations?" now get instant answers without staff involvement.
3. Social Media Management + AI Inbox Automation
The team transitioned off a third-party vendor for social media posting and moved to a centralized platform that manages all brands from one interface, with user roles and a content approval workflow so location managers can post without bypassing brand standards. On top of that, AI-powered automated replies were built for Instagram and Facebook comments and direct messages, using the same knowledge base as the website chatbots. Posts that need real engagement get flagged; routine inquiries are answered automatically.

The Results
Estimated impact, based on the client's reported volume (9 restaurant locations, ~600 staff) and a blended $45/hr labor rate.
Google reviews: Automating responses across 9 locations removes the bulk of manual review management. Estimated time removed: ~10–14 hrs/week ≈ $25k–$32k/yr.
Social media inbox: Automated replies to routine Instagram and Facebook inquiries across multiple brands. Estimated: ~4–6 hrs/week labor removed ≈ $9k–$14k/yr.
Combined estimate: ~$35k–$45k/yr in recovered labor across the group, or roughly 1–1.5 FTE-equivalent hours per week redirected from inbox triage to higher-value work.
Beyond the math: the owner now has a consistent guest experience across all 9 brands that doesn't depend on whether the right staff member is available. Reviews are responded to within hours, not days. Chatbots answer before a guest ever waits for a callback.
FAQ
Will this work with our existing POS and reservation systems?
The automations built for this client sit on top of existing systems — Google My Business, social media platforms, and restaurant websites — without requiring POS integration. The next planned phase includes connecting the chatbot to the reservation system for live availability and booking.
How fast were the first automations live?
Google review automation was live within the first two sessions. The full chatbot rollout across 8 websites took approximately 6 weeks of build and testing. Social media automation followed on a separate track.
What happens to negative reviews?
Negative reviews are flagged immediately to the owner rather than auto-responded. The automation creates a triage system — positive reviews go out automatically; anything that needs human judgment is surfaced for attention. The business stays responsive without removing owner oversight from sensitive situations.
Does the chatbot need to be updated every time the menu changes?
No. The knowledge base is configured to sync automatically from each restaurant's website. When the site updates, the chatbot updates.
