Syncing Financials: Hive and Workamajig Integration for Creative Agencies

The Client
AV, a global marketing agency specializing in brand strategy, creative design, and storytelling, approached us with a need to streamline data flow between two project management tools: Hive and Workamajig.
With a team of around 150 employees, they manage all their projects in both tools simultaneously but wanted to automate the retrieval of specific financial data from Workamajig into Hive for better project visibility.
The Problem
The primary issue they faced was that Workamajig housed important financial details—like project labor gross and project expenses gross—while Hive was their main project management hub.
Manually transferring this data across platforms was time-consuming, error-prone, and lacked real-time updates. They needed an automated solution to pull financials from Workamajig into Hive whenever a project ID was updated in Hive.
The Solution
We built a custom automation that runs daily, checking all projects in Hive for Workamajig IDs. If an ID is present, the automation retrieves:
- project labor gross,
- expenses gross, and
- total budget
from Workamajig via API and updates these fields in Hive. This way, their team has an up-to-date view of critical project financials without having to switch between systems or perform manual updates.
The Workamajig API presented some challenges, requiring more complex parameters than typical API calls, which initially led the client to believe the data couldn’t be retrieved. However, through detailed testing, we successfully pulled all necessary information and ensured the integration worked smoothly.
The Result
As a result, ADD Ventures now enjoys real-time project financial visibility within Hive, significantly reducing manual effort and errors. This has improved their team’s ability to make informed decisions and keep project management aligned across platforms. Our solution not only saved time but also provided clarity on financials that was previously lacking in their workflow.
